Command workflow

From a broker’s email to a clear next step

  1. 01Intake

    Bring in the file

Forward it to your intake address, upload it, or send the vendor or broker a magic link. They need no account and no password.

    Intake addressMagic linkUpload
  2. 02Inspect

    Read twice, compare once

Each file is read twice, separately. If the reads disagree, a person confirms the value on the page before any rule runs. Then fixed rules compare it with your requirements.

  3. 03Enforce

    Chase, then keep watching

The vendor and broker hear what is required and what was shown. Renewal reminders go out by themselves, and every message stays on the record.

What it does

The checks your team would run with more hours in the day

Two separate reads, and a person settles any disagreement

Each file is read twice. When the reads agree, fixed rules compare the values with your requirements. When they don’t, nothing is guessed: the file waits in Needs review with the page beside it.

The forms behind the certificate

A ticked box on an ACORD 25 is not the endorsement. COI Pilot reads the attached pages and names the form required beside the form shown.

Gaps named one by one

Limits, dates, forms and the certificate holder are compared line by line. Blanket additional insured wording counts as a gap unless you allow it.

Renewals that chase themselves

Reminders go out on the days you choose, and every message stays on the record.

No account for vendors

A vendor or broker opens one magic link and uploads. No password, and you can revoke the link at any time.

ROI & Benefits: The True Cost of Missing a Gap

Before you compare features, compare the costs: one missing form, hours of broker chasing and quoted per-seat review, against a plan from $199 a month. With the sound on.

What mattersSpreadsheetsLegacy BPOsCOI Pilot
Pricing Free, but priced in your staff’s hours Often per vendor or per seat, and quoted Per company, with public prices and no charge per seat
Endorsement forms Tracks dates, not forms Reviewed in their queue Reads the pages behind the certificate, and names the form required beside the form shown
First result When someone gets to it When their queue gets to it Compared as soon as the file is read; unclear values go to your own review list
Chasing vendors By hand, from your inbox They chase for you, on their script Automatic, in your organization’s name, on the days you choose
Your requirements Whatever the sheet says Changes go through their team Edit any limit or form, and every vendor on the profile is compared again
Getting started Nothing to set up A sales process and onboarding A live demo with no sign-up, then a 14-day trial with no card
Learning the tool Zero guidance Often paid training and locked documentation Free Open Academy (Interactive Video Course + Written Playbooks), open to everyone before sign-up
Who decides You Their reviewer flags, you decide You. COI Pilot compares documents, and you decide what happens next

FAQ

What people ask first

Does COI Pilot confirm a vendor’s insurance with the insurer?

No. It compares the documents you receive with the requirements you set. It does not contact insurers, and it is not an insurance broker or a law firm. For what a policy pays, or what your contract should require, ask your broker or counsel.

Why look past the ACORD 25?

The certificate is for information only, and a ticked additional insured box is not the endorsement. COI Pilot reads the attached forms too, such as CG 20 10, CG 20 37, CG 20 29, CG 24 04 and CG 20 01, and shows which one your requirements asked for and which one the file shows.

What does AI do here, and what does it not do?

AI reads the file. Fixed rules, not a model, compare the values with your requirements, so the same document and requirements give the same result. If two reads disagree, the file waits for a person.

Do my vendors or their brokers need an account?

No. A magic link opens a simple upload page with no password. Each link can be revoked at any time, and it expires by itself.

What does the price depend on?

Your company pays one price, by how many vendors you track. There is no charge per seat, so everyone on your team can use it. Billing and cancelling need no phone call.

What happens in the live demo?

You get a private workspace of fictional subcontractors with real multi-page PDFs. It sends no email, takes no real files, and is deleted after 2 hours.
